Waitlist System - Faculty/Staff Last Updated:  Feb 15, 2006, 10:17 AM PST

Students are able to place themselves on a "real-time" waiting list for a class section that is full if 1) the waitlist option is activated for that class, and 2) the student meets the conditions of enrollment for the class. When/If space becomes available the first student on the list is automatically added to the class and sent an email notification. Students are responsible for their official enrollment, including any waitlisted classes they no longer want to enroll in. Students can verify enrollment via WebReg, StudentAccess, or at the Registrar's Office.



*For Faculty and Departments - Key Features of the Waitlist System

  1. All classes that are eligible to use the Waitlist System will automatically default to that option. Departmental Schedule of Classes (SOC) Coordinators can access the waitlist option in the Electronic Schedule of Classes (ESOC). [See below for a more detailed description of classes eligible to take advantage of the Waitlist System.]

  2. The default size of a waitlist is 15 percent of the maximum capacity of the class section. The SOC Coordinators can deactivate or change the default size of the waitlist using ESOC. They may designate a maximum number for a waitlist or a percentage of the capacity. When a department changes the capacity of a class, the size of the waitlist will be changed automatically for percentage-based classes. The size of the waitlist will not be changed if the department designated a fixed number for the waitlist.

  3. Waitlists remain activated through the Adjustment period - - which ends a day or two before class instruction begins - - and the EAD (Electronic Add/Drop) period (if the class is designated Electronic Add/Drop) - - which ends on Friday of the second week of classes - - unless deactivated by the departmental SOC Coordinator.

  4. If a waitlist is deactivated, the instructor determines which students may add his/her class. There is no policy that requires the instructor to give priority to students remaining on the waitlist.

*For Students - Key Features of the Waitlist System

  1. When a student asks for a class that is full, WebReg announces the current number of students on the waitlist. Students select the Waitlist Menu to add/drop themselves to/from a waitlist.

  2. The student must be eligible to enroll in the class, i.e. must satisfy active prerequisite checking (if initiated by department) and meet the restrictions in effect a) when waitlisting the class and b) again when moving from the waitlist into the class.

  3. A class cannot be waitlisted if it creates a time conflict with any of the student's enrolled classes nor can a student enroll in a class that is in conflict with a waitlisted section.

  4. The unit value of a waitlisted class is added to the student's total unit enrollment and is considered in the enforcement of enrollment limitations. Currently undergraduate students may enroll in 20 units without obtaining their Dean's authorization. The total number of class sections that can be waitlisted is ten. (This limits the number of zero unit discussions a student can waitlist.)

  5. The student is allowed to waitlist one substitutable section of a course in which s/he already is enrolled. The student is dropped automatically from one section of a course if s/he successfully moves from the waitlist into a substitutable section of the same course.

    For example, a student may prefer Lecture A but it is full. To complete registration for the course, the student adds Lecture B and adds herself to the waitlist for Lecture A. Space becomes available in Lecture A; she is automatically added to this lecture and dropped from Lecture B.

  6. The student is responsible for monitoring enrollment and dropping him/herself from unwanted classes or waitlists. S/he can check official enrollment using WebReg. An email is sent to the student's UCI email account when s/he moves from a waitlist into a class.



*Examples of Default Waitlist Classes

Unique courses (single sections that are not linked) such as
  • Drama 10 lecture A;
  • Com Lit 100W seminars A, B, C, D, E -- each a different topic and title;
  • Com Lit 104 lectures A and B - each a different topic and title;
  • I&C Sci 162 lecture A;
  • Psy Beh P117D lecture A;
  • Soc Sci 20 lecture A.

Substitutable class sections (multiple sections that are linked) such as
  • Bio Sci 96 lectures A-B-C;
  • Korean 1C lectures A-B-C-D;
  • Writing 30 seminars A-B-C-D-E-F.

Two-way co-classes (lecture and discussions are linked)
  • Math 13 lecture A, discussion 10;
  • Psych 9A lecture A, discussions 1-2-3-4.


*Example of Classes that Cannot Utilize the Waitlist System: Three-way co-classes such as lecture, lab, and discussion combinations
  • I&C Sci 51 lecture A, labs 1-2-3-4, discussions 1-2 ;
This is an example of a multiple section type with co-classes (lecture, lab, discussion, etc.) that are linked for enrollment purposes.


*Important Notes

  • Once the enrollment period begins, departments are discouraged from making changes in restrictions, prerequisites, and the number that can waitlist a class. Such changes cause confusion for students attempting to enroll in or waitlist classes.

  • Students are advised that there is no guarantee that space will become available in a class that is full.
