Cancellation/Withdrawal Last Updated:  Apr 20, 2007, 10:01 AM PDT

The Cancellation/Withdrawal (C/W) form is used during the quarter when a student wishes to discontinue enrollment in a quarter for which s/he has already paid fees. Do NOT drop all of your courses with add/ drop/change cards. If you wish to discontinue enrollment after paying fees, you MUST file a C/W form. Likewise, do not stop payment on the check used to pay registration fees in lieu of filing the C/W form.

The difference between a cancellation and a withdrawal:

  • If submitted prior to the beginning of the quarter ("Cancellation"), nothing will appear on the transcript for that quarter.
  • If submitted after the quarter has begun ("Withdrawal"), "Withdrew H.D. Granted" * will be noted on the transcript, along with the effective date of withdrawal.
  • If submitted after the end of the sixth week the above notation as well as a list of classes with "W" will be noted on the transcript.
* "H.D." means "Honorable Dismissal"

Procedure:

  • Pick up a Cancellation/Withdrawal (C/W) form from the Registrar's Office (215 Aldrich Hall), Graduate Division (120 Aldrich Hall), or an academic counseling office. Students prevented by illness or other circumstances from coming to campus to file the form should contact the Registrar's Office in writing as soon as possible, and before the end of the quarter. Cancellation and withdrawals are subject to the approval of your dean obtained at your academic advising office.
  • If applicable, please consult the following departments prior to submitting your cancellation/withdrawal petition to ensure you understand the implications of canceling registration or withdrawing from UCI: Financial Aid, Financial Services, Housing.
  • Fill out the "Student" section of the form, have it signed by your academic dean and the Ombudsman (undergraduate).
  • Submit the form to the Registrar's Office (undergraduate), or to Graduate Division (graduate) before the end of the quarter.
  • A date-stamped copy will be given or mailed to you.
Important Note: You do not need to process drop cards after submitting the C/W form.

Returning to UCI (undergraduates):

  • If you are a continuing student, you need to submit a Readmission Application when you wish to return to UCI. There is a nonrefundable fee of $60 for processing this form.
  • If you are a new student, and you submit a C/W form BEFORE the quarter has begun, you are not eligible for readmission. You will need to reapply for admission to UCI.
  • If you are a new student, you are eligible for readmission and may submit a Readmission Application when you wish to return if you have: enrolled in classes, paid your registration fees, and withdrew AFTER the quarter begins.
  • Refer to the section on Readmission for the deadlines for fall, winter and spring quarters.

Returning to UCI (graduates):

Note: Refunds are determined by the effective date of the cancellation or withdrawal and are based on calendar days, beginning with the first day of instruction. See the section on Fee Refunds in the UCI General Catalogue for more information.

(The Student Health Insurance Fee may only be refunded if the Cancellation/Withdrawal form is submitted prior to the first day of the quarter which is generally prior to the first day of instruction. See calendar for dates.)
