Grades Listing: Glossary of Terms

TERM: DEFINITION:
Show Student ID: The WebGrades roster always displays each student's 8-digit ID number in the first column.
Click in the menu's "Sort by" column to sort the roster by Student ID.
Show Student Name: If checked, the redisplayed roster will include each student's full name under the listing's "Name" column.
Click on "Last, First" or "First, Last" in the menu to display each student's first and last names in that order.
Click in the menu's "Sort by" column to sort the roster by Student last name.
Show Email Address: If checked, the redisplayed roster will include each student's email address under the listing's "Email" column. If you are working at your own computer and your web browser and email programs are installed correctly, you can click on a student's email address to send the student email.
Click in the menu's "Sort by" column to sort the roster by each student's email address.
Show Major: If checked, the redisplayed roster will include each student's major (at the time of the quarter being listed) under the listing's "Major" column.
Students with double, triple, or quadruple majors are designated by "+", "++", or "+++", respectively, after their major.
Click in the menu's "Sort by" column to sort the roster by each student's major.
Show Class Level: If checked, redisplayed roster will include each student's class level, with the following codes in the "Lvl" column:
FR = Freshman ( 0.0- 44.9 units)
SO = Sophomore ( 45.0- 89.9 units)
JR = Junior ( 90.0-134.9 units)
SR = Senior (135.0 or more units)
G5 = Graduate Level 5 (masters, credential, etc.)
G6 = Graduate Level 6 (first stage doctorate)
G7 = Graduate Level 7 (second stage doctorate)
G8 = Graduate Level 8 (professional)
G9 = Graduate Level 9 (post-doctorate)
M6 = Medical Level 6 (medical doctorate)
Click in the menu's "Sort by" column to sort the roster by each student's class level (with secondary sorting by last name).
Show Grade Option: The WebGrades roster always displays each student's grade option under the listing's "Opt" column:
GR = Course taken for grade.
P/NP = Course taken for Pass/NotPass (or Pass/Fail, if UCI Medical School).
S/U = Course taken for Satisfactory/Unsatisfactory.
Click in the menu's "Sort by" column to sort the roster by each student's Grade Option (with secondary sorting by last name).
Show Enrollment Units: If checked, the redisplayed roster will include the number of units each student is registered for in the course.
Click in the menu's "Sort by" column to sort the roster by each student's Enrollment Units.
Show Used Authorization: If checked, the redisplayed roster will include an Auth column that displays Yes if the student enrolled in the course using either: 1) a signed Add Card; 2) an enrollment B-Code supplied by the instructor; or 3) was specially authorized by the department. This field will be blank if the the student was able to enroll without a special authorization.
Click in the menu's "Sort by" column to sort together all the students who enrolled with this special authorization.
Grade Editing Options
Use pulldown menus:
If checked, grades can be edited with pulldown menus when the roster is redisplayed. This option is more compact for letter grades than using radio buttons.

If checked, grades can be edited with radio buttons when the roster is redisplayed. This allows very quick mouse editing for classes with the P/NP or S/U grade option.

Use input boxes:
If checked, grades can be edited using text input boxes when the roster is redisplayed. This option is keyboard friendly.

Clicking this button causes the class roster listing to be redisplayed in the same color webpage format with proportional fonts.
If JavaScript is enabled for your web browser (you don't need to enable "Java" itself), you can enter a percentage value greater than 100 to increase the size of the fonts in the course table listing, or you can enter a value less than 100 to decrease the sizes (say, so the roster listing's width fits on a single page).

Display Fixed Text button
Clicking this button causes the class roster listing to be displayed as a black & white text page with a non-proportional font in fixed columns. This is useful if you want to:
Save the listing as a text file and view it within a text editor or submit it to another program such as Webtron.
Print the listing.
Import the listing into Microsoft Excel (you can either store the listing as a text file and import it, or use your mouse to highlight the entire listing, copy and paste it into your Excel worksheet, and then click the "Text to columns" option in Excel's "Data" menu.

Display Tabbed Text button
Clicking this option causes the class roster listing to be displayed as a black & white text page with a non-proportional font, with each field separated by tabs. This is useful if you want to:
Save the listing as a text file and import it into a database or submit it to another program such as Webtron.
Import the listing into Microsoft Excel (you can either store the listing as a text file and import it, or use your mouse to highlight the entire listing, copy and paste it into your Excel worksheet, and then click the "Text to columns" option in Excel's "Data" menu.
Upload Text File Containing Grades: Instead of editing grade entries by hand, you have the option of uploading a text file with a student's ID and grade on each line.
The student ID must be in the first column, and the grade must be in the last column of each row. Be sure to enter grade NR for "No Report", or delete the student ID from your file, if you don't want to supply a grade for a particular student. The student rows can be in any order, and your file can include other lines of comment text before or after the student rows, since a row is ignored unless it starts with a number containing 5 to 8 digits.
If you don't already have a file containing your students and their grades, an easy way to create one is to click the Fixed Text option in the Listing Format box, and then make your web browser save the page as a text file (in Netscape, just specify a file name ending with ".txt"). You can use Notepad or some other text editor to add grades to the right side of each student row, or you can import the student rows into a spreadsheet program such as Microsoft Excel and add the grades there.
Note that the file you upload to WebGrades must be an unformatted text file; you cannot use a Microsoft Word or Excel file unless you specifically tell that program to save or export it as a text (MS-DOS) file. If WebGrades complains that your file has binary characters, you probably stored it with your word processor's default formatting and need to re-save or export the file with "text document" specified.
Macintosh users: Make sure that the Append file extention checkbox is marked; otherwise, some Mac's will ignore the text format you specified, whether you manually add ".txt" or not, and continue to save the file in Word or Excel format.
Macintosh Excel users should also be sure to save the file in tab delimited text format, since space delimited text format doesn't always insert spaces between columns.
Editing Status:
Subscribed
You are automatically subscribed whenever you view a class roster under WebGrades during the current quarter, and this tells us that you plan to officially submit your grades after the last day of instruction with this program, rather than by submitting the traditional paper course report. Therefore, if you subscribe before the last day of instruction, the Registrar Office will not send you a paper course report.

Note that you can practice uploading tentative grades at any time during the quarter and they will be stored by WebGrades, but due to University policy the program will not give you an opportunity to officially submit your grades until 5pm on the last day of instruction. At that time, the "Officially Submit Grades" button will appear, and you will have a few days to officially submit your grades before the WebGrades deadline listed by the program. Note that if you miss this deadline, you will have to use a paper late grade change form to submit your grades.

To save your grades so far -- so you can return another time to finish editing them, or to protect your current entries in case you lose your network connection -- just click the "Save Grades" button.

To submit your grades for processing by the Registrar, click the "Officially Submit Grades" button. The program will ask "Are you sure?", to make sure you no longer need to edit your grades.

Once your grades have been officially submitted, the program will allow you to view, but not edit, the grades you entered.
